Most advice about AI for small business is written for enterprises and shrunk down, or written by tool vendors and pointed at their product. This guide is neither. It is the sequence we use with Australian owner-led businesses, from solo founders to small teams, when they ask the honest version of the question: where does AI actually help me first?
Start with a leak, not a technology
The wrong starting question is which AI tool to buy. The right one is where your business currently leaks money through work that does not happen. In owner-led businesses the leaks are remarkably consistent:
- Enquiries that wait hours for a first response, while the prospect calls your competitor.
- Quotes and proposals that go out once and are never followed up.
- Invoices that sit unpaid because chasing them is nobody's job.
- Lapsed customers and abandoned carts that nobody re-engages.
- Numbers that get read at BAS time instead of weekly.
The first workflow test
A good first AI workflow passes three tests. It is frequent, so the system earns its keep weekly rather than annually. It is measurable, so you can compare before and after with your own numbers rather than vibes. And it is boring, in the best sense: repetitive, rule-shaped work that a human currently does badly at 9pm or not at all.
Lead follow-up, quote chasing and a weekly operating briefing pass all three tests for most businesses. A flashy customer-facing chatbot usually fails at least two.
What you need in place first
Less than you think. You do not need a data warehouse or an IT department. You need your core systems to be reachable: an inbox, an accounting file such as Xero or MYOB, whatever holds your customers or jobs, and your website forms. If your business runs on a spreadsheet and a phone, that is a constraint worth being honest about, but it is a starting point, not a disqualifier.
Privacy is not optional
Australian businesses handling personal information operate under the Australian Privacy Principles. Practically, that means being deliberate about what customer data an AI system can read, where it is processed, and what leaves your control. Two rules serve small businesses well: minimise what the system touches to what the workflow needs, and keep a human approval on anything that goes to a customer. Any provider who cannot explain their data handling in plain English is telling you something.
